a) At least a week, to allow you time to rearrange your schedule at the busiest time of your work year?
b) At least 24 hours, to allow you to cancel your hotel reservation, thus saving the firm £160?
c) Just before you set off?

Or d) After you've checked into your hotel?

Well it does depend on the circumstances but I'd say A or B for a polite colleague, especially A if they suspect things may be about to come up that prevent them attending when they can forewarn you of a possible cancelllation. Unless someone in their close family has just dropped dead or gone into hospital with a life-threatening illness or to have a baby (but in the latter case especially A applies really).
